Bookkeeper/Office Manager

This is a part-time year-round contract with the general responsibility to manage the administrative activities of the Cowichan Folk Guild. This includes general financial management, bookkeeping, writing cheques, revenue generation, grant management, and support for the Islands Folk Festival. In undertaking this responsibility, the Bookkeeper/Office Manager works closely with the CFG Board, the Artistic Director and the Islands Folk Festival co-ordinators. The Bookkeeper/Office Manager will perform the following tasks in carrying out the administrative activities of the CFG:

Communications:

  • Manage office communications (email, mail, phone)

  • Assist in the development and distribution of promotional materials

Financial Management:

  • Prepare an annual operating budget

  • Create financial reports, budgets and post event reports for grant providers

  • Banking – deposits, monthly account reconciliations, etc

  • Bookkeeping

  • Manage payables and receivables

  • Work with the treasurer to develop financial strategies & reports

  • Prepare monthly financial updates for the CFG Board

  • Prepare Front of House cash box and prepare cash reports for monthly coffeehouses and other events

  • Work with the CFG Accountants to have annual Financial Statements prepared

Resource Development and Community Outreach:

  • Search for new grants and other funding opportunities

  • Prepare financial portions for various Grant applications

  • Assist in soliciting and recording sponsorships

  • Seek opportunities to strengthen the profile of the CFG within the community

Festival Team:

  • Participate in Islands Folk Festival production meetings where necessary

  • Collaborate with Artistic Director and festival co-ordinators in financial aspects of IFF

  • Provide support for revenue areas of festival (finance, camping, parking, beverage garden, gate).

  • Manage online ticket sales

    Prepare questionnaires, name tags, meal tickets, site passes for various areas of the festival

Other

  • Organize and prepare financial and other materials for annual general meetings

  • Ensure CFG by-laws are up to date and revised when required

  • File all necessary reports with the Societies Registry

  • Obtain Raffle and Special Event Licenses as needed for the IFF and other events
